Key Role Descriptions

To assist members in understanding expectations of them when they are called upon to fill roles around the club, and also to understand key responsibilities within the club the following role descritpions have been developed.

President

  • Elected in accordance with the Constitution
  • Presides as chairperson at all meetings of the Management Committee
  • External representative of the Club
  • Responsible for Club Management

Commodore

  • Elected in accordance with the Constitution
  • Presides as chairperson of the Sailing Committee
  • Responsible for management of sailing activities including social sailing, racing, and regattas
  • Responsible for organising the racing calendar and Race Management roster
  • Reports to the President

Secretary

  • Elected in accordance with the Constitution
  • Primary administrator of the incorporated association
  • Responsible for legal compliance and communication, managing records like the member register, organising and minuting meetings (agendas, notifications), handling correspondence, and lodging annual statements and changes with the relevant government bodies
  • Reports to the President

Treasurer

  • Elected in accordance with the Constitution
  • Financial administrator of the incorporated association
  • Responsible for accounting for all monies and keep the financial records of the club as reported by the Club's book-keepers
  • Reports to the President

Vice Commodore

  • Elected in accordance with the Constitution
  • Assists the Commodore in management of sailing activities including social sailing, racing, and regattas
  • Reports to the Commodore

Rear Commodore

  • Elected in accordance with the Constitution
  • Assists the Commodore in management of vessels, vehicles and equipment required for sailing activities
  • Reports to the Commodore

Youth Coordinator

  • Elected in accordance with the Constitution
  • Represents the interests of all youth and junior members of the club
  • Responsible for the coordination of sailing activities including social sailing, racing, and regattas for youth and junior members of the club
  • Reports to the President

Principal Race Officer

  • Nominated by the Sailing Commitee
  • Responsible for organising the Notice of Race, Sailing Instructions and other officiating of all racing conducted under the RRS
  • Reports to the Commodore

Race Officer of the Day

  • Nominated by the Sailing Commitee for each day of the club level racing
  • Responsible for on water officiating of a day's racing conducted under the RRS
  • Responsible for organising the start boat and rescue crews for that days racing
  • Responsible for monitoring conditions on the race course area and makes any decision to postpone or cancel racing if the weather is unsuitable or unsafe for racing
  • Reports to the Commodore

DSC Principal

  • Nominated by the Management Committee and appointed under the Discover Sailing Centre Agreement signed with Australian Sailing
  • Legal responsiblity for the running of all activities under the Discover Sailing Centre Agreement
    • Maintaining compliance with the Australian Sailing Operating Standards and Guidelines
    • Completing the Annual Review in conjunction with the Australian Sailing DSC Reviewer
    • Ensure that Australian Sailing programs are only delivered by an Australia Sailing qualified instructor endorsed to deliver that program and 
      course and in accord with the syllabi for the course
    • Ensure compliance with the State/Territory legislation including child protection laws
    • Management of the courses
  • Reports to the Managment Committee

DSC Assistant Principal

  • Nominated by the DSC Principal
  • Assists the DSC Principal in discharging their responsibilities outlined above.
  • Reports to the DSC Principal

Lead Instructors

  • Nominated by the DSC Principal or DSC Assistant Principal
  • In addition to the role outlined below for Instructors, the Lead Instructors take responsibility for a class cohort through their enrolement
  • Report to DSC Principal and DSC Assistant Principal

Instructors

Instructors at Humpybong Yacht Club are responsible for the delivery of the syllabus as documented in the Australian Sailing Instructor Manuals. As the key “face” of the club, the Instructor is required to fully understand the policies and aims of the club and encapsulate these within the programs they run. The Instructor is responsible for leading a team of Assistant Instructors not just within the program but also with regard to the professional development of Assistant Instructors within the club.

  • Qualifications, Skills and Experience:
    • Qualified Australian Sailing Instructor with inductions in Tackers and other programs
    • Experience in the delivery of sail training programs.
    • Ability to build rapport with club officials and Assistant Instructors.
    • Excellent presentation skills with particular reference to verbal communication with children.
    • Strong leadership capacity with regard to health and safety procedures, delivery of the instruction program, and the guidance of Assistant Instructors.
    • An appreciation of the long-term development of sailors of all ages and development levels within sailing.
    • Must hold a current Positive Notice Bluecard issued by the Commission for Children and Young People and Child Guardian and understand the requirements of the club’s Child Protection Policy
  • Responsibilities:
    • Ensure that participants have fun.
    • Communicating with the Youth Committee regarding lists of participants registered for each program in order that a register be produced prior to commencement of the program.
    • Working in conjunction with the Assistant Instructors to pack away the boats following each session. All equipment needs to be accounted for at the end of the session.
    • Monitor the condition of the equipment and report any problems to the Rear Commodore.
    • Making an assessment of the prevailing weather conditions prior to the start of each session. Communicate this assessment to the participants and parents.
    • Determine the appropriate on-water and off-water activities given the weather conditions at each session.
    • Given the weather conditions at each session determine if the student’s clothing is appropriate to prevent hypothermia, heat stress or UV related injuries.
    • Supporting the Youth Committee in promotion of the programs offered at the club.
    • Organising the tasks required of each Assistant Instructor for on-water activities for the programs.
    • Upholding the reputation of the club by acting in a professional manner at all times.
    • Engage in professional development of their sailing instruction skills as and when available.

Assistant Instructors

Assistant Instructors at Humpybong Yacht Club are responsible for the delivery of learn-to-sail activities at the club under the direction of our Instructors. The Assistant Instructors are employed to support the Instructor in the delivery of the Tackers program, in particular they are responsible for organising and supervising the on and off-the-water games described in the Tackers Instructor Manuals.

  • Qualifications, Skills and Experience
    • Australian Sailing qualified Assistant Instructor with inductions in Tackers and other programs
    • Ability to work as part of a team with strong communication skills and an ability to use initiative.
    • Understanding of the health and safety issues as they relate to sailing.
    • Enthusiasm for seeing more people participate in sailing.
  • Responsibilities
    • Ensure that participants have fun.
    • Prepare the boats prior to the start of each session (at least 30 minutes prior to the start of the session).
    • De-rig and return the boats to the storage area after each session.
    • Work under the direction of the Instructor to deliver the session plans.
    • Lead the on-the-water and off-the-water activities.

Results Officer

  • Nominated by the Management Commitee
  • Responsible for collating the results of all races conducted and the determination of appropriate handicaps
  • Reports to the Commodore

Funding Coordinator

  • Works with the Management Committee to develop strategies and activities to raise funds from external sources to further the objectives of the Club.
  • Reports to the President

Media Coordinator

  • Promotes the activities of the club through local media and the club’s website and Facebook pages
  • Reports to the President

Social Coordinator

  • Responsible for the coordination of the social calendar and non-sailing activities
  • Reports to the President

Canteen Coordinator

  • Coordinate for the catering requirements of the club
  • Reports to the President
